Before Cleveland Clinic Florida (CCF) switched to PatientWorks, their forms printing process was inefficient and unstable. They utilized a solution that downloaded all of their forms, as PCL macros, to laser printers. The data was then merged and printed through Siemens. "The download process was very time consuming and did not always work," says Tom Mooney, IT Manager. "We were constantly running into revision problems with the wrong form being printed." Finally, as CCF added more and more forms to their solution, the costly flash memory requirements for all of their printers also grew. CCF began investigating alternatives and found PatientWorks superior to the competition. They decided to switch to PatientWorks after a successful trial period.

"The software package has enabled us to very quickly update forms and make sure the latest copy is being used," says Mooney. It has stabilized the process. CCF now utilizes PatientWorks to serve up over 200 documents for medical records on-demand. They were able to import existing Microsoft Word and Excel and Lotus Notes documents into their application. The application seamlessly integrates into Siemens/Signature, dynamically routing the jobs to laser printers at both their Weston and Naples facilities.

Why did CCF choose PatientWorks? Aside from the proven stability and flexibility e-forms gave them, CCF enjoys partnering with vendors like Addressograph Healthcare that are willing to customize the product around their needs. "Many of the off-the-shelf packages will not fit into the environment. We need the vendor to be flexible and work with us," says Mooney. CCF processes as many as 1000 patients a day at the outpatient clinics in Weston and Naples. Medical Records utilizes their PatientWorks solution to print packages three days in advance for scheduled visits, as well as ad hoc prints for walk-ins.
